
Our client, the leading global live events entertainment company, is seeking a highly organised and service-driven Reception & Office Services Manager to oversee reception, administration and facilities operations at their London head office. This role is full time and office based.
Key responsibilities will include:
• Managing reception services and acting as the first point of contact for visitors, staff and external enquiries.
• Overseeing a centralised inbox and directing enquiries appropriately.
• Providing a welcoming, professional environment for guests and clients.
• Maintaining office security processes and liaising with on-site security personnel.
• Opening the office daily and ensuring communal areas are tidy and stocked.
• Managing post, couriers, deliveries and collections.
• Ordering office, kitchen, IT and stationery supplies.
• Booking domestic and international travel and accommodation.
• Raising purchase orders and supporting general office administration.
• Maintaining office equipment and liaising with suppliers as required.
• Managing meeting room bookings and preparing rooms for meetings and events.
• Coordinating catering, equipment and room setup.
• Ensuring meeting spaces are kept organised and presentable.
• Acting as the main point of contact for facilities and building management.
• Coordinating contractors, repairs and maintenance.
• Maintaining health and safety records, including first aiders and fire marshal.
• Liaising with cleaning teams for office upkeep.
• Providing ad hoc administrative support across departments.
• Handling confidential and commercially sensitive information with discretion.
• Supporting internal events and office culture initiatives where appropriate.
Requirements:
• Experience in reception, office management or facilities coordination within a professional environment.
• Excellent organisational and time-management skills.
• Strong communication skills and a customer service abilities.
• Confident using Microsoft Office (Outlook, Word, Excel, PowerPoint) and learning new systems.
• High level of professionalism, discretion and attention to detail.
• Proactive, approachable and comfortable supporting a wide range of stakeholders.
