Our client, an iconic music company is seeking a PA to Chairman, COO and General Manager to provide comprehensive support in this varied role.

Key Responsibilities will include:

  • Greeting visitors and arranging refreshments for meetings
  • Providing a support service for the Chairman’s daily schedule, planning workload, extensive diary management and co-ordinating all relevant paperwork.
  • Performing administration duties, including filing for relevant departments.
  • Making globaltravel arrangements, including visas, transport, accommodation and preparing itineraries.
  • Typing all correspondence, e.g. letters, memos, minutes.
  • Screening of internal and external telephone calls and taking appropriate action.
  • Arranging ‘off site conferences’ and lunches.
  • Arranging meetings and booking internal meeting rooms with relevant equipment.
  • Dealing with incoming emails.
  • Raising invoices, purchase orders and monthly expenses.
  • Managing merchandise project including monthly stock take and distribution of all orders placed.
  • Point of contact for all press enquiries for company.
  • Organisation of all staff socials and company meetings.
  • Handling confidential information in a professional manner.
  • Manage personal affairs discreetly.
  • Preparing presentations for meetings and quarterly company update.
  • Ordering business cards for all new members of staff.
  • Working closely with EA to Founder on intricate schedules and daily demands.
  • Assisting with all aspects of project administration and organisation.
  • Processing expenditure authorisations and payments.
  • Archiving all project-related documents.
  • Organising and attending project meetings, taking detailed notes and circulating action points.
  • Maintaining effective collaboration communications among internal and external stakeholders.
  • Complete and present any project-related research required
  • Creative involvement in the product design and marketing
  • Sourcing new suppliers
  • Ad hoc cover for EA to Founder, managing projects, travel arrangements and monthly expenses for Publishing Director.
