
Our client, a global music digital rights/licensing business working with independent labels across the world is seeking and Executive Assistant to provide high-level support to the CEO.
The successful candidate will thrive in a fast-paced, international environment and deliver administrative excellence at the highest level.
The client offers a mix of WFH and in office depending on business needs.
Key responsibilities will include:
· Managing complex executive diaries across multiple international time zones.
· Proactively identifying and resolving scheduling conflicts and bottlenecks.
· Supporting executives in balancing internal priorities with external engagements.
· Preparing briefing packs, agendas and materials for meetings and events.
· Attending key meetings to take minutes, track actions and ensure follow-up.
· Managing executive inboxes, prioritising communications and drafting responses.
· Coordinating complex domestic and international travel arrangements.
· Managing visas, documentation and country-specific travel requirements.
· Processing expenses, invoices and purchase orders in line with company policies.
· Supporting the tracking and renewal of executive-level contracts and services.
· Drafting, editing and proofreading senior-level documents, reports and presentations.
· Acting as a professional point of contact for board members, investors and senior partners.
· Handling confidential financial, legal and personnel information with discretion.
· Conducting ad-hoc research to support strategic decision-making.
· Assisting with executive communications, including internal updates and public-facing content.
· Supporting preparation and delivery of company-wide meetings and executive updates.
Requirements:
· Extensive experience supporting C-suite executives, including a CEO, across multiple time zones within the music industry is essential.
· Exceptional organisational skills and ability to manage competing priorities.
· Outstanding written and verbal communication skills.
· Strong judgement, discretion and professionalism at all times.
· Advanced proficiency in Microsoft Office and/or Google Workspace.
· Experience using current communication, collaboration and expense tools.
