Our client, a youth organisation nurturing emerging black musical talent, is seeking an Administrator Officer role, to support their team based in their East-London office.


Key responsibilities will include:
• Ensuring work projects are delivered to deadlines and within budgets.
• Providing regular reports to the General Manager.
• Attending company meetings as needed and taking minutes/agendas.
• Organising meetings and managing databases.
• Administering the organisation’s data capture and analysis conform to the charity’s legal requirements (CertHR Level 4).
• Maintaining records for reporting to the board.
• Ensuring the office is managed well, administering IT, software subscriptions, telecoms. Post, office supplies, meeting scheduling, logins and similar activities.
• Ensuring the office building is well maintained, liaising with contractors and supervising duty manager staff.
• Assisting with preparing letters, presentations, and reports.
• Serving as a welcoming first point of contact for visitor and telephone enquiries.
• Assisting with the organisation of company events and conferences.
• Supporting the team with work projects and communications.
• Updating participant facing communications.
• Working with participants to ensure full attendance of the programmes.
• Planning student visits and open days.
• Working with referral partners such as music education centres to market the organisation.
• Coordinating marketing asset creation, physical distribution, and digital communications.
Requirements:
• Previous Office Manager, Front Office Manager, or Administrative Assistant experience.
• Substantial client relationship management and/or customer service experience.
• Experience working on data capture and analysis in a business or arts administration capacity.
• Experience with working in support of projects in a team.
• Knowledge of Office Administrator responsibilities, systems, and procedures.
• Solid administrative capabilities and highly organised.
• Strong communication skills, both written and verbal.
• Able to plan and organise work in a fast-paced environment.
• Excellent time management skills.
• Proficiency in Microsoft Office.
• Able to problem solve and suggest solutions.
• Good attention to detail.
