Our client, a global music record label is looking for an experienced PA to assist the President of the company.

 The main responsibilities of the role will include:

·         Full coordination of a hectic and constantly changing schedule, often with last minute alterations, daily diary update first thing every morning

·         Day to day management of call list and inbox

·         Act as main label gatekeeper in relation to external meeting requests and internal requirements

·         Full support with coordinating overseas trips including booking all travel arrangements, compiling itineraries and managing a busy schedule whilst abroad, sometimes working late due to different time zones

·         Booking cars for daily travel, to and from gigs, airport transfers etc

·         Prepare meeting agendas and assist with preparation for meetings

·         Processing monthly expenses plus approving expenses of Department Heads

·         Purchase lunch every day when not dining out

·         Weekly petty cash update for all lunches and personal expenses incurred

·         Distribution of weekly Label Meeting Agenda

·         Liaise with Artist Relations to confirm table plans and ticket orders for all events and industry awards including The Brits, Music Week Awards etc

·         Arrange signing celebrations, release celebrations and platinum awards etc.

·         Purchase Artist birthday gifts, mostly via Artist Relations but sometimes directly

·         Taking calls and relaying all messages in a prompt manner

·         Ensuring all Contacts details are correct and updated

·         Forwarding unsolicited demos to A&R Team where relevant, often requesting feedback to pass on

·         Updating ipod, downloading music files, maintaining iTunes library filing system

·         Ordering all tickets for gigs and getting AAA passes where necessary, often via Artist Managers

·         Meeting and greeting all external clients and providing refreshments

·         Booking hospitality and refreshments for office based staff events and all new artist signings

·         Controlling booking system for meeting rooms on the floor

·         Booking & researching restaurants for business lunches/dinners/meetings

·         Dealing with private and personal affairs including; diary activity, preparing itineraries for family holidays, personal shopping, gift research & ordering, booking personal appointments

 

 

 The successful candidate must:

 

·         Have extensive experience as a PA/EA within music or entertainment working at a very senior level

·         Have impeccable communications skills, both written and verbal, with all levels of management

·         Have excellent diary management skills with experience of coordinating a hectic and ever-changing schedule

·         Be able to work autonomously with minimal supervision, you are always pro-active and not afraid to take initiative

·         Be flexible and motivated, happy to work outside of standard office hours

·         Be super organised, with first-class co-ordination and prioritisation skills

·         Be dedicated, positive, diligent and always open to learning

·         Be a team player and forge strong relationships with people at levels (internally & externally)

·         Be detail oriented with excellent level of accuracy

·         Be comfortable with all new digital media

·         Have excellent computer skills (Word, Power point, Excel, Outlook, Internet etc.)

·         Have a passion for music
