Our client, a major global music company, is looking for an outstanding Executive Assistant to provide support to the EVP for a 12 month FTC.

 

Main responsibilities of the role will include:

·         Screening all incoming calls

·         Screening all incoming and outgoing post and deliveries

·         Extensively managing and gatekeeping the EVP’s Calendar

·         Managing the EVP’s photocopying, typing and general administration

·         Arranging extensive business and personal travel across varying time zones

·         Arranging and preparing for meetings and video conferences on behalf of the EVP

·         Liaising with people globally at all levels including Senior Management and Executives

·         Organising International conferences for high level Executives

·         Ad hoc research and information gathering

·         Collating weekly Chart reports for EVP’s territories

·         Processing invoices and large amount of EVP’s expenses in various currencies

·         Preparing for meetings including ordering lunch, booking conference rooms, setting up video conferencing units and circulating international dial in details.

·         Acting as a liaison with building management on any office-related issues

·         Managing the inventory of office supplies, ordering additional supplies as needed

·         Organising personal arrangements and managing private matters for EVP

·         Managing household bills and credit card payments

·         All other reasonable duties as requested

 

The successful candidate must have:

·         Previous experience of working as a EA at a senior level, preferably within a Music or Media organisation

·         Previous experience of dealing with senior members of an organisation

·         Proven organisational skills (especially in calendar management and complex travel itineraries); gained through the above

·         Proven experience of working in a pressured environment and to deadlines

·         Excellent written and verbal communication skills

·         Proven experience of working under own initiative and as part of a team

·         Excellent IT skills – highly competent in Microsoft Outlook / Word / Excel / PowerPoint

·         Proactive approach to work, able to pre-empt problems before they occur

·         Discretion and attention to detail
