Our client, a private equity fund management firm, is looking for a proactive Team Assistant to support the Office Manager and take ownership of all business travel needs of the CEO.

The key responsibilities of the role will include:

  • Planning travel logistics, ensuring all necessary visas and travel documents are valid
  • Tracking and planning for upcoming events, ensuring all information is put in the team’s calendar
  • Regularly scheduling planning meetings with the Office Manager and CEO’s EA
  • Maintaining good relationships with service providers
  • Updating the accounts team with all travel costs
  • Assisting the Office Manager
  • Answering and screening calls, welcoming guests and assisting with enquiries
  • Managing the CEO’s expenses
  • Minute taking where required

The successful candidate will have:

  • Demonstrable experience dealing with complex international itineraries and travel plans
  • Excellent organisational, communication and administrative skills
  • The ability to take initiative, multi-task and prioritise
  • A strong work ethic and an adaptable and resourceful attitude
  • The ability to both work autonomously and as part of a team
  • Strong IT skills – must be proficient in MS Office Suite, particularly Outlook
  • Experience working with CRM databases ideal
